Hands-on milestones
In this hands-on project, you will build an end-to-end commercial billing system in Excel used by accounting teams. You will implement automated invoice sequencing, customer master lookups via XLOOKUP, dynamic tax calculation based on client state codes, and automated aging reports using Conditional Formatting.
Follow each step sequentially. Apply the formulas in your Excel workbook.
Objective: Create a verified client directory with State Codes and GSTIN.
Step-by-step Execution:
=XLOOKUP([@[Client_Name]], tbl_Customers[Company], tbl_Customers[State_Code], "Not Found")💡 Safely searches the client database table without column-index hardcoding, instantly pulling the state code.
Industry Pro Tip: Always use structured table references instead of $A$2:$A$100 to make your ledger expandable without formula adjustment.
Objective: Compute 9%+9% CGST/SGST or 18% IGST automatically based on place of supply.
Step-by-step Execution:
=IF([@[Client_State]]=param_HomeState, [@[Subtotal]]*0.09, 0)💡 Checks if transaction is intra-state (equal to seller home state) to determine tax distribution.
Industry Pro Tip: Use ROUND(expression, 2) on tax calculations to avoid 1-paisa rounding discrepancies across large registers.
Objective: Calculate overdue days and trigger visual traffic-light alerts for receivables.
Step-by-step Execution:
=IFS([@[Payment_Status]]="Paid", "Settled", TODAY()>[@[Due_Date]], "OVERDUE (" & (TODAY()-[@[Due_Date]]) & "d)", TRUE, "On Track")💡 Evaluates current system date against the scheduled invoice due date and returns clear actionable labels.
Industry Pro Tip: Use the custom number format `0" days overdue"` to keep the underlying value numeric while showing clear descriptive units.
Objective: Summarize total invoiced, total collected, and high-risk receivables.
Step-by-step Execution:
=SUMIFS(tbl_Invoices[Total_Amount], tbl_Invoices[Status], "OVERDUE")💡 Sums all invoice values that meet the critical overdue criterion.
Industry Pro Tip: Insert a Timeline Slicer linked to your invoice date column for intuitive quarterly and monthly filtering.
